PDF security settings

PDF Security

  • The institutions' ADT administrators will control and oversee document security is in place for each thesis. The document security switches available with Adobe Acrobat Exchange are:
  1. PASSWORD level security
    1. Password to use the document at all
    2. Password to change any existing security settings.
  2. DOCUMENT USAGE level security
    1. Do NOT allow Printing
    2. Do NOT allow Changing the Document
    3. Do NOT allow Selecting Text and graphics
    4. Do NOT allow Adding or Changing Notes and Form Fields
  • Unless extra security is required by the author, the default for ADT documents will be read and print only with no changes to the document possible. This also conforms to the UMI/DAI approach for PDF documents. This will mean activating 2.2, 2.3, 2.4. In order to protect these document securtiy settings it will be necessary to also activate 1.2. This will password protect the settings, preventing those reading an ADT document with Acrobat Exchange from altering these settings.
  • This requires that when documents are submitted to the relevant ADT sites by students that the appropriate security switches are not activated. These will be activated by the administrator when the document is approved for the public view. The Administrator will have a standard password to allow modifications to the security of the document if required in the future.
  • It is important that students submitting are aware of the security options available, and give clear instructions on how their document is to be publicly presented.

The reason for security residing with the ADT administrators for the purpose of this project, is that if in time, changes in the view of the document are required, without access to the document security switches the administrator has no way of making such changes. For example: if an author sets an interim 'no print' option on a document for a period of time, when the time has expired, unless the administrator has access to the document this cannot be changed. The intent is not to take this option away from the author, but to ensure that the documents comply with the authors' security instructions. The author submits an unrestricted PDF document with the administrator setting the security before it goes into the public view. Each participating institution will be responsible for administrating their own ADT deposit software including password security.
